Booking Conditions — What You’re Agreeing to When You Book

Every Sun & Safari trip — whether a Masai Mara safari, a Diani or Watamu beach stay, or a combined bush-and-beach itinerary — runs on the terms set out below: deposits and balance payments, what happens if your plans change, how cancellation fees are worked out, what your price does and doesn’t cover, and where our responsibility to you begins and ends. Paying your deposit confirms that you, and everyone travelling with you, accept these terms in full.

The Basics

Understanding These Booking Conditions

The terms that apply to every trip booked with us, however you book it.

These Booking Conditions are the contract between you and Sun & Safari Limited (referred to throughout as “we”, “us”, “our” or “the Company”) for any safari, coastal stay, or combined itinerary booked with us — whether through this website, by email, over the phone, or in person with a consultant.

“You” and “your” mean the lead traveller who makes the booking, together with every other traveller named on it. The lead traveller is responsible for the accuracy of every name, passport detail, and date submitted, and for making payments on time on behalf of the whole party, even where individual travellers intend to pay their own share directly.

A contract comes into existence the moment we receive your deposit and issue written confirmation of your itinerary — not when you first receive a quote, and not when you verbally agree dates with a consultant. Until that point, any itinerary or price sent to you is a proposal only, and it can change based on availability at the specific lodges, camps, and internal flights named in it. The version of these conditions in force on the date your deposit is received is the version that applies to your booking for its full duration, even if this page is updated later; keep a saved or printed copy alongside your other booking paperwork.

Whether you book one of the fixed packages listed on this site, one of the destination-specific tours on our shop page, or a fully bespoke itinerary built around your dates through the trip planner, the same Booking Conditions apply in full — a bespoke itinerary doesn’t carry different terms simply because it’s custom-built.

These conditions sit alongside, rather than replace, the terms of any third-party supplier involved in your trip. International and domestic airlines, lodges and camps, ground transport operators, and activity providers — from balloon safari operators to dhow captains — each have their own conditions of carriage or stay, which apply in addition to ours where relevant, particularly around baggage allowances, check-in times, and no-show policies at individual properties.

Definitions

Key Terms Used in These Booking Conditions

The specific terms that carry a defined meaning throughout this page, used consistently in every section below.

Lead Traveller
The person who makes the booking and is named first on it. Responsible for the accuracy of every traveller’s details and for payment on behalf of the whole party.
Trip Cost
The total quoted price of a booking for one traveller, before any single supplement, amendment fee, or optional extra is added.
Confirmed Booking
A trip for which we have received your deposit (or full payment, if booking within 70 days of departure) and issued written confirmation.
Deposit
25% of the trip cost per traveller, or USD 500 per traveller, whichever is greater, paid to move a proposed itinerary into a confirmed booking.
Balance
The remaining trip cost after your deposit, due no later than 70 days before your departure date.
Departure Date
The first date of travel named on your confirmed itinerary — the date every notice period on this page (70 days, 43 days, and so on) counts back from.
Written Notice
Notice given by email to your usual point of contact. The effective date is the date received during business hours, Nairobi time, or the next business day if received outside them.
Force Majeure
An event neither party could reasonably have prevented or planned around — natural disaster, epidemic, government travel restriction, war, civil unrest, or similar. Defined fully under Our Side of the Bargain.
Group Departure
A shared itinerary where you travel alongside other Sun & Safari guests you did not arrive with, rather than a private booking for your own party only.
Kenya eTA
The electronic travel authorisation most nationalities need before entering Kenya, separate from and in addition to your trip cost. Full detail in our Kenya eTA & Visa Guide.

The Process

How Your Booking Is Confirmed, Step by Step

Every booking follows the same six steps, from your first enquiry through to the documents you’ll carry with you at check-in.

Share Your Travel Dates & Preferences

Send your travel dates, group size, and the kind of trip you’re after — a safari, a coastal stay, or a combined bush-and-beach itinerary — through the trip planner, by email, or by phone, so a consultant can put together a draft itinerary around it.

2

Review Your Draft Itinerary

Your consultant sends a proposed itinerary and a full quote in USD, covering the destinations, lodges, and activities discussed. Review the routing and inclusions, and ask for any changes before you confirm anything — nothing is booked at this stage.

3

Pay Your Deposit

Once you’re happy with the itinerary, confirm your booking with a deposit of 25% of the total trip cost per traveller, or USD 500 per traveller, whichever is greater, by card or bank transfer. This is the payment that moves your itinerary from a proposal to a confirmed booking.

Receive Your Booking Confirmation

Once your deposit clears, we issue written confirmation of your itinerary, inclusions, and the exact date your balance is due — this is the point the contract between us is formed.

Pay Your Balance Before the Due Date

Settle the remaining balance no later than 70 days before departure, or immediately if you’re booking within that window. We’ll send a reminder ahead of the due date.

Receive Your Final Travel Documents

Once your balance clears, you’ll receive your final itinerary, lodge vouchers, and any internal flight tickets, ready to carry alongside your passport, eTA approval, and travel insurance. Check them against our what-to-pack guide before you leave.

Before You Commit

Prices, Quotes & Availability

How we price your trip, and what can still change before you’ve paid a deposit.

A written quote from Sun & Safari is valid for 14 days from the date it’s issued. Beyond that window, availability and pricing at the specific lodges and camps in your itinerary can no longer be guaranteed, and we’ll need to reconfirm both before you pay a deposit.

All prices are quoted per person based on two adults sharing a twin or double room, unless your itinerary specifically states otherwise. Prices reflect availability at the time your quote is issued, not at the time of any earlier enquiry, and the exact room, flight, or vehicle availability behind your quote is only secured once your deposit is received.

Package prices advertised on our packages page and product prices shown on individual tour pages in our shop are indicative starting prices for the itinerary described, based on specific dates and a minimum group size where stated. Your personal written quote, once issued, is what actually applies to your booking, and takes precedence over any general figure shown elsewhere on our site.

Some components of your quote — most commonly internal flights and park fees set in Kenyan shillings — are more exposed to exchange-rate movement than others. Where we can, we lock these in at the time you pay your deposit; where a supplier only confirms rates closer to travel, we’ll flag this specifically in your written quote so it’s never a surprise later.

If a genuine pricing error appears in a quote — for example, a decimal point or currency mistake obviously inconsistent with the rest of the itinerary — we’ll correct it and let you know before treating your deposit as accepted at the corrected price.

Paying for Your Trip

Deposits, Balance Payments & Accepted Payment Methods

The two payments behind every booking, and how to make them.

Every booking is confirmed with a deposit of 25% of the total trip cost per traveller, or USD 500 per traveller, whichever is greater, paid at the time you confirm your itinerary. If you’re booking within 70 days of departure, we ask for full payment upfront rather than a deposit, since there usually isn’t enough time left to collect a balance separately.

The remaining balance is due no later than 70 days before departure. We’ll email a reminder ahead of the due date, but the responsibility for paying on time sits with the lead traveller, regardless of how many people are named on the booking. If we haven’t received your balance within 7 days of the due date, we treat the booking as cancelled by you, and the cancellation charges described later on this page apply.

We accept payment by Visa or Mastercard through our secure payment portal, which carries a 2.9% card processing surcharge, or by direct bank transfer, which carries no surcharge from us, though your own bank may charge a transfer fee. All prices, deposits, and fees on this page and in your written quote are in US dollars (USD) unless we’ve told you otherwise in writing.

Every traveller named on a booking, including children and infants, is charged the same deposit percentage and is subject to the same balance due date as an adult traveller — there’s no reduced children’s deposit or family rate. Your Trip Price

What Your Trip Price Includes — and What Could Change It

Everything covered in your quoted price, and what sits outside it.

Your quoted trip price covers everything set out in your written itinerary: accommodation at the properties listed, meals as specified for each stay, park and conservancy entrance fees, the game drives and activities named in your itinerary, and transport between destinations within Kenya. It does not automatically cover anything that isn’t written into that itinerary.

Included in Your Trip Price

  • Accommodation listed in your itinerary, on the meal basis specified
  • Park, reserve and conservancy entrance fees for included activities
  • Game drives, guided walks and activities named in your itinerary
  • Road or light-aircraft transport between destinations, as specified
  • English-speaking driver-guides throughout your safari
  • Government taxes and levies in effect when your balance is paid in full

Not Included in Your Trip Price

  • International flights to and from Kenya, unless stated in your itinerary
  • Your Kenya eTA fee and any other entry or visa fees
  • Travel insurance
  • Tips and gratuities for guides, drivers and camp staff
  • Drinks, laundry, spa treatments and other personal expenses
  • Optional activities not named in your written itinerary

A “named” optional activity is any addition your consultant has explicitly written into your itinerary and priced separately — a hot air balloon flight over the Mara, an extra snorkelling excursion in Watamu, or a Maasai cultural village visit booked alongside your core safari. Anything discussed but not written into the final itinerary is not included, even if it was mentioned during earlier planning.

Once your balance is paid in full, we don’t apply surcharges for currency fluctuation, park fee increases, or fuel costs within 30 days of departure. Outside that window, if government levies, park fees, or exchange rates move against us, we absorb the first 2% of any resulting cost increase; anything beyond that is passed on and invoiced to you before departure, with a full breakdown of what’s changed and why.

We’ll never introduce a new category of charge that wasn’t part of your original written quote — a price increase under this clause can only reflect a genuine increase in an existing, already-quoted cost component.

Getting Around Kenya

How You Travel Between Destinations

Road transfers, light-aircraft transfers, and what determines which one your itinerary uses.

Most itineraries combine two modes of transport within Kenya: private 4×4 safari vehicle for road transfers, and light aircraft for longer legs or for connecting to the coast. Which mode applies to which leg is set out explicitly in your written itinerary rather than left to be arranged on arrival.

Road transfers are typical between destinations that sit relatively close together — Nairobi to the Rift Valley lakes, or between Lake Nakuru and the Masai Mara — and are driven by the same driver-guide who accompanies you on game drives, in the same vehicle, so there’s no separate transfer vehicle to coordinate. Road surfaces vary from tarmac to unsealed murram track once inside a reserve or conservancy, which is factored into the drive times your consultant quotes.

Light-aircraft transfers connect destinations too far apart to drive comfortably in a single day, or where flying saves the better part of a day of your trip — the Masai Mara to Diani, or Samburu to Nairobi, for example. These flights use scheduled or chartered light aircraft between the airstrips serving each park, not a commercial jet service, and carry the reduced baggage allowance described in the following section.

Where your itinerary crosses into Tanzania, such as on a combined Mara-Serengeti route, the border crossing itself is arranged as part of your itinerary, but is subject to that border post’s own opening hours and immigration procedures, which we’ll detail in your final documents.

Packing for the Bush

Baggage Allowances on Internal Flights

What you can realistically pack for the legs of your trip flown on light aircraft.

If your itinerary includes light-aircraft transfers between safari destinations — for example, Nairobi to the Masai Mara or the Mara to the coast — your baggage allowance is considerably smaller than on an international flight: typically 15kg per person, including hand luggage, and it must be packed in a soft-sided bag without a rigid frame. This is a safety and weight-balance requirement set by the individual aircraft operators, not a Sun & Safari policy, and it applies regardless of how much baggage allowance your international flight into Kenya offers.

Hard-sided suitcases and wheeled cases typically can’t be carried on light-aircraft sectors at all, since they don’t pack efficiently into the aircraft’s hold. If your itinerary includes internal flights, we’ll flag the exact weight limit and bag-type requirement for your specific route in your booking confirmation, since limits can vary slightly by aircraft type and operator, and by destination — routes into Samburu or Lamu, for example, can differ from a standard Mara routing.

Most camps and lodges offer laundry service, which makes packing light considerably easier across a multi-stop itinerary. Excess baggage on a light-aircraft sector is handled directly with the aircraft operator on the day, at their own rates, and isn’t something Sun & Safari can pre-arrange, waive, or refund on your behalf.

If Your Plans Change

Changing Your Dates, Itinerary or Traveller Details

What changes, what it costs, and when a change becomes a cancellation instead.

You can request a change to a confirmed booking at any time before departure by contacting your consultant in writing. Whether we can accommodate it depends entirely on availability at the properties and with the suppliers involved — a change is never guaranteed until we confirm it in writing.

Most amendments carry a fee of USD 50 per request, in addition to any price difference the change itself creates — for example, moving from a family safari itinerary to a honeymoon safari format, upgrading to a higher-category room, or adding extra nights. Correcting a genuine spelling error in a traveller’s name is free of charge if you catch it within 7 days of booking; after that, it’s treated as a standard amendment.

Requests to change your travel dates less than 70 days before departure are treated differently: rather than an amendment, we treat this as a cancellation of your original booking, with the cancellation charges below applying, followed by a new booking at whatever rates are current for your new dates. This reflects how little notice suppliers themselves have to resell the space you’re vacating.

Adding or removing nights, activities, or destinations from an already-confirmed itinerary is treated as an amendment rather than a cancellation, provided your overall travel dates stay the same, and is subject to the same USD 50 fee plus any price difference.

Can’t travel yourself? You can transfer your booking to someone else who meets all the conditions of the trip — a valid passport, any age or fitness requirement a specific activity carries, and so on — provided you tell us in writing at least 14 days before departure and pay a transfer fee of USD 75. You and the new traveller are jointly responsible for any outstanding balance and for the transfer fee itself; if we’re notified with less than 14 days’ notice, we treat it as a cancellation and a new booking instead.

If Plans Fall Through

The fee we charge depends entirely on how many days before departure we receive your written cancellation notice — the earlier you tell us, the less you lose.

To be effective, cancellation notice must be given in writing by email to the lead traveller’s usual point of contact; the effective date is the date we receive it during business hours, or the next business day if it arrives outside them. Where only some travellers on a shared booking cancel, this scale applies only to their individual share of the cost — the rest of the party’s booking continues unaffected.

Comprehensive travel insurance with cancellation cover can often reimburse some or all of these fees depending on your reason for cancelling and your policy’s terms — we’d strongly recommend checking your policy against this scale as soon as you book.

Getting Your Money Back

How & When You’re Refunded

The method and timeline behind any refund you’re entitled to under this page.

Any refund due under these Booking Conditions — whether from a cancellation scale above, a force majeure cancellation, or a shared group departure that didn’t reach its minimum numbers — is returned to the original payment method used. We don’t issue refunds in cash, or to a different bank account or card than the one the payment was made from.

Bank transfer refunds typically clear within 10 business days of us confirming the amount due. Card refunds are processed on our side within the same window, but can take a further billing cycle or two to appear on your statement, depending on your card issuer — this part of the timeline is outside our control.

Where a refund is only partial — for example, under the cancellation scale, or where a force majeure event affects only part of a multi-destination itinerary — we’ll send a written breakdown showing exactly what’s being retained and why, alongside the refund itself.

The 2.9% card processing surcharge charged on the original payment, where applicable, is not refundable, since it’s a cost incurred with the payment processor at the time of the original transaction rather than something we hold on your behalf. Our Side of the Bargain

If We Need to Change or Cancel Your Trip

The two situations where we might need to change your booking ourselves.

On rare occasions, we may need to change or cancel a confirmed booking ourselves. This happens for one of two reasons: a shared group departure not reaching the minimum number of travellers it needs to run, or a force majeure event outside anyone’s reasonable control.

Shared group departures typically need a minimum of 4 travellers to proceed. If that minimum isn’t reached, we’ll give you at least 30 days’ notice before departure and offer alternative dates, an alternative itinerary of comparable standard, or a full refund of any monies you’ve already paid us.

Force majeure covers events neither of us could reasonably have prevented or planned around: natural disasters, epidemics or pandemics, government travel advisories, entry restrictions or border closures, war, civil unrest, terrorism, strikes, and airport or airspace closures. Where a force majeure event forces us to change or cancel your trip, we’ll refund monies paid for the cancelled portion, minus costs we’ve already reasonably committed to suppliers on your behalf, or offer a credit voucher valid for 24 months as an alternative.

Neither a minimum-numbers cancellation nor a force majeure event entitles you to compensation beyond what’s set out above — this includes the cost of any flights, visas, or other arrangements you’ve booked independently of us, which is why we recommend booking flexible fares where possible and always holding valid travel insurance.

A Condition of Booking

Travel Insurance — A Condition of Booking

Why we require it, what it needs to cover, and by when.

Comprehensive travel insurance is a mandatory condition of travelling with Sun & Safari, not an optional extra. We won’t issue your final travel documents without confirmed proof of cover, and we reserve the right to treat an unconfirmed policy as grounds to withhold departure documents until it’s provided.

Your policy needs to cover, at minimum, emergency medical treatment, emergency medical evacuation — including light-aircraft or air-ambulance evacuation from remote safari areas such as Samburu or the Mara conservancies, which can be needed with little warning — repatriation, and trip cancellation or curtailment. Standard domestic health cover, and many credit-card travel policies, don’t meet this bar on their own; check the specific inclusions before relying on either.

We need to see proof of your policy, including your insurer’s name and an emergency contact number, no later than 14 days before departure. We don’t sell travel insurance ourselves, so we’d suggest sourcing a policy as soon as your booking is confirmed, both to satisfy this condition in good time and because cancellation cover is generally more useful the earlier it’s in place relative to any reason you might need to cancel.

An annual multi-trip policy is fine, provided it meets the minimum cover above for the full duration of your safari — check this specifically rather than assuming, since some annual policies cap evacuation cover lower than a dedicated single-trip safari policy would.

If you travel without adequate cover in breach of this condition, you do so at your own risk, and Sun & Safari accepts no liability for costs that appropriate insurance would otherwise have covered.

Your Responsibility

Passports, Visas, eTAs & Health Requirements

You’re responsible for arriving in Kenya with a passport valid for at least six months beyond your departure date from Kenya, with at least one blank visa page, an approved Kenya eTA, and any other entry document your specific nationality or routing requires. Sun & Safari can advise, but the application itself, and the consequences of an incomplete one, are yours to manage.

A Yellow Fever certificate is only required if you’re arriving from, or transiting, a country with risk of Yellow Fever transmission; our eTA & Visa Guide covers exactly who this applies to and the timing involved. Beyond that, we’d recommend a routine pre-travel health check with your GP or a travel clinic, including advice on malaria prophylaxis suited to your itinerary and the time of year you’re travelling — malaria risk and seasonal timing generally are covered in our best time to visit Kenya guide.

If you’re denied boarding or entry because of an incomplete, invalid, or missing document, Sun & Safari isn’t liable for any resulting cost or lost trip time — which is exactly why we flag what to check as early as possible in the booking process, rather than leaving it until check-in.

On Safari

Fitness, Safety & Conduct During Your Safari

What to expect physically, and the rules that keep everyone — including the wildlife — safe.

Most of our itineraries are comfortably suited to travellers of average fitness, since the majority of time is spent seated in a safari vehicle rather than on foot. A small number of activities set their own requirements, which we’ll flag clearly at the time of booking: a hot air balloon safari typically carries a minimum age of around 7, and a walking safari, such as the Crescent Island walk at Lake Naivasha or the Hell’s Gate hiking and cycling route, is generally not recommended for children under 12, at the guide’s discretion on the day.

Please raise any dietary requirements, mobility needs, or other special requests separately — see Special Requests, Dietary Needs & Accessibility below for how we handle these. If you take regular medication, bring more than enough to cover your entire trip plus a reasonable buffer for delays, in your hand luggage rather than checked baggage, since pharmacies are scarce once you’re away from Nairobi or the coast.

Once on safari, you’re required to follow the reasonable instructions of your driver-guide and any park ranger — this includes staying inside the vehicle in areas where it’s required, respecting posted speed limits and off-road restrictions, and following the specific rules of the reserve or conservancy you’re visiting, which vary from park to park. Please also treat the communities you encounter, including a Maasai cultural village visit or a Swahili Coast walking tour on your itinerary, with the same courtesy and respect your guide models — this is someone’s home, not a photo backdrop. Drone use is prohibited in essentially all Kenyan national parks and reserves without prior written permission from the relevant authority.

Sun & Safari or any supplier involved in your trip may refuse to continue carrying or hosting a traveller whose behaviour endangers themselves, other guests, staff, or wildlife, or who acts illegally, without any refund for the unused portion of the trip. Alcohol is served responsibly at our partner lodges and camps, and travellers remain responsible for their own conduct regardless of what’s been consumed.

Travelling Your Way

Special Requests, Dietary Needs & Accessibility

How we handle dietary needs, allergies, and accessibility requests.

Tell us about any dietary requirements, allergies, mobility needs, or other special requests at the time of booking, rather than on arrival. We pass these directly to every lodge, camp, and internal flight operator on your itinerary, and most can accommodate common requests comfortably with this much notice — this is especially relevant on a family safari or honeymoon safari, where dietary and room-configuration requests are more common than on a standard itinerary.

We treat all special requests on a reasonable-endeavours basis rather than a guaranteed one: some remote camps have limited kitchen facilities or a fixed daily menu, and some properties have a genuinely limited number of accessible rooms, which we’ll confirm availability of before you pay a deposit rather than after.

If a specific mobility requirement affects which activities, vehicles, or properties are realistically suitable for you — for example, transferring in and out of a safari vehicle, or navigating an uneven camp walkway after dark — please raise it early, so your consultant can build an itinerary around properties genuinely equipped for it, rather than one that later needs reworking.

Requests submitted after your balance has been paid are still passed on wherever possible, but we can no longer guarantee they’ll be accommodated in the way an earlier request could be.

Travelling Together

Group Bookings, Families & Solo Travellers

Whichever kind of party you’re travelling as, the lead traveller who made the booking stays responsible for the accuracy of every name and the timing of every payment on it, even where individual travellers intend to pay their own share directly to us.

Every child, regardless of age, needs their own passport and their own approved Kenya eTA — they can’t travel on a parent’s documents — and is charged the same deposit percentage and cancellation scale as an adult traveller named on the same booking. Minors must be accompanied throughout the trip by a parent or legal guardian aged 18 or over. Parks and lodges built around shorter drive times and calmer activities, such as Lake Nakuru or a reef-protected stay in Watamu, tend to suit younger children best — see our family safari service for how we structure these itineraries.

Travelling alone and want your own room rather than sharing? A single supplement applies, typically in the range of 20–35% of the twin-share per-person rate, with the exact figure confirmed in your written quote since it varies by property and season.

Booking through a travel agent, corporate travel manager, or on behalf of a wider group? The agent or company organising the booking can act as the point of contact for scheduling and payment reminders, but every named traveller remains individually bound by these Booking Conditions, and the organising party is jointly responsible with the lead traveller for passing on payment deadlines, document requirements, and any change or cancellation notice accurately and on time.

The Legal Detail

Our Liability to You

Where our responsibility to you sits, and where it doesn’t.

For most of what makes up your trip, Sun & Safari acts as a booking agent arranging services provided by independent third parties — airlines, lodges and camps, ground transport operators, and activity providers — rather than as the direct provider of those services ourselves. Our liability to you reflects that role: we’re responsible for exercising reasonable care and skill in selecting and booking these suppliers on your behalf, and for our own acts and omissions, but not for the acts, omissions, or service standards of suppliers we don’t directly control.

Wildlife sightings are never guaranteed on any safari, anywhere, and their absence isn’t a service failure on our part or any supplier’s. The same applies to weather conditions, road conditions outside anyone’s control, and delays or changes made by airlines, park authorities, or other third parties for their own operational or safety reasons. Where an airline or other supplier changes a schedule with little notice, we’ll do what we reasonably can to adjust your itinerary around it, but we can’t guarantee an alternative that fully replicates what you originally booked.

We’re not liable for indirect or consequential loss — for example, the cost of connecting flights, onward hotel nights, or other arrangements you’ve booked independently of us, where a change to your Sun & Safari itinerary affects them. This is a further reason we recommend flexible fares and comprehensive travel insurance wherever your budget allows.

Some activities — walking safaris, hot air balloon safaris, and certain community or conservancy visits among them, including the Maasai cultural village immersion and the Hell’s Gate cycling and hiking adventure — are run by specialist third-party operators who may ask you to sign their own liability waiver on the day, separate from these Booking Conditions. Signing it is a condition of taking part, and its terms sit alongside, not instead of, everything set out on this page.

Nothing in these Booking Conditions excludes or limits liability that can’t be excluded or limited under Kenyan law, including liability for death or personal injury caused by our own negligence.

How to Raise a Concern

The fastest way to fix a problem, and what to do if it isn’t fixed on the ground.

If anything about your trip falls short, tell your guide, driver, or on-ground representative straight away. Most issues — a room mix-up, an itinerary mismatch, a supplier misunderstanding — are far easier to put right in real time, while you’re still in Kenya, than after the fact.

If a concern isn’t resolved on the ground, or only becomes clear once you’re home, submit a written complaint to us within 28 days of your return date through our contact page, ideally by email, with as much detail as you can — dates, locations, and who you spoke to at the time, if applicable.

We aim to send a full written response within 14 business days of receiving your complaint. Where your concern involves a specific third-party supplier, we may need to raise it with them directly as part of investigating it properly, which can occasionally extend this timeline; we’ll tell you if that’s the case.

Complaints about matters entirely outside our control — such as a flight delay caused by an airline, or a park closure ordered by the relevant wildlife authority — are things we’ll help you navigate, but the outcome ultimately rests with the relevant third party. General questions that aren’t complaints are usually quickest to resolve through our FAQ page before contacting us directly.

What we collect, and who we share it with.

We collect the personal information needed to process your booking — names, passport details, dietary and medical information you choose to share, and payment details — and use it to arrange, confirm, and support your trip.

We share only what’s necessary with the specific suppliers involved in delivering your itinerary, such as the lodges, camps, airlines, and ground transport operators you’ll actually use, and, where relevant, information required by immigration or eTA-related authorities as part of your entry into Kenya. We keep your booking information for as long as necessary to deliver your trip and meet our own accounting and legal obligations, and no longer than that.

We may email you about your specific booking regardless of your marketing preferences, since these messages are necessary to deliver your trip. General marketing emails about future trips are opt-in, and every one we send includes a one-click way to opt out at any time.

Sharing Your Trip

Photography, Filming & Use of Your Trip Images

How we might ask to use your trip photos, and the rules for your own.

If you’re happy to share a photo, video, or a few words about your trip with us, we may occasionally ask permission to feature it on our website, in our marketing, or on social media. We’ll always ask first, credit you if you’d like to be credited, and you’re entirely free to decline without it affecting your booking in any way.

Personal, non-commercial photography and filming for your own use is welcome throughout your trip, subject to the specific rules of each park, reserve, or conservancy you visit, and the reasonable requests of your guide around wildlife safety and other guests’ privacy.

Commercial filming, professional photography shoots, or drone use for any purpose require prior written permission from both Sun & Safari and the relevant park or conservancy authority, arranged well in advance of your trip — tell your consultant at the time of booking if this applies to you.

Governing Law & Updates to These Conditions

The legal detail behind every booking.

These Booking Conditions are governed by the laws of the Republic of Kenya. Any dispute arising from your booking that we can’t resolve directly between us is subject to the exclusive jurisdiction of the Kenyan courts. If any individual clause in these conditions is found unenforceable by a court, the remaining clauses continue to apply in full.

These conditions are written and issued in English. If we ever provide a translated version for convenience, the English version remains the authoritative one in the event of any conflict or ambiguity between the two.

We review and update these Booking Conditions from time to time, most often to reflect changes in supplier costs, government levies, or entry requirements. The version in force on the date you pay your deposit is the version that governs your booking for its full duration, regardless of any later update to this page. These Booking Conditions should be read alongside our separate website Terms & Conditions, which cover use of this website itself rather than the trip you book through it.

Direct answers to what we’re asked most about deposits, cancellations, and the terms behind your booking.

Sun & Safari confirms bookings with a deposit of 25% of the total trip cost per traveller, or USD 500 per traveller, whichever is greater. If you’re booking within 70 days of departure, full payment is due at the time of booking rather than a deposit.

The remaining balance is due no later than 70 days before departure. We’ll email a reminder ahead of the due date; if payment is more than 7 days overdue, we treat the booking as cancelled by you and standard cancellation fees apply.

Cancellation fees are calculated as a percentage of your total trip cost based on how many days before departure we receive your written notice — from loss of your deposit only if you cancel 70 or more days out, up to 100% of the cost inside 14 days or for a no-show. The full fee scale is set out above.

Yes, subject to availability, for an amendment fee of USD 50 plus any resulting price difference. If you request a date change less than 70 days before departure, it’s treated as a cancellation of the original booking and a new booking at current rates.

It’s required. Comprehensive travel insurance covering emergency medical treatment, emergency evacuation, and trip cancellation is a mandatory condition of booking with Sun & Safari, and we need proof of your cover at least 14 days before departure.

This is rare, and usually only happens if a group departure doesn’t reach its minimum numbers, or because of a force majeure event outside anyone’s control. You’ll be offered a full refund of monies paid for the cancelled portion, an alternative itinerary, or a credit voucher.

Yes. Every traveller named on a booking, regardless of age, is subject to the same deposit percentage, balance due date, and cancellation fee scale as an adult traveller.

All prices, deposits, amendment fees, and cancellation charges are quoted and charged in US dollars (USD), unless your written quote specifically states otherwise.

Raise it immediately with your guide, driver, or on-ground representative so it can be addressed in real time. If it isn’t resolved, submit a written complaint within 28 days of your return date and we’ll respond in full within 14 business days.

Yes, provided the new traveller meets all the conditions of the trip and you tell us in writing at least 14 days before departure. A transfer fee of USD 75 applies, and you and the new traveller are jointly responsible for it and for any outstanding balance.

Weather is outside anyone’s control, and we can’t offer refunds for a safari that goes ahead as booked even if conditions aren’t ideal. Where weather genuinely prevents a specific activity, such as a light-aircraft transfer or a hot air balloon safari, your guide or the activity operator will rearrange it where possible or advise on the alternatives available.

Refunds are returned to the original payment method — bank transfer refunds typically clear within 10 business days, and card refunds within one to two billing cycles depending on your card issuer. We don’t refund in cash or to a different account or card than the one used to pay.

Yes. A travel agent or corporate booker can act as the lead traveller’s point of contact, but the named travellers remain bound by these Booking Conditions directly, and the agent is jointly responsible for passing on payment deadlines and travel document requirements accurately.

Depending on your itinerary, transfers between destinations such as the Masai Mara, Amboseli, and the coast are made by private 4×4 safari vehicle on tarmac and murram roads, or by light aircraft between airstrips, with the mode specified in your written itinerary.
